ChAS is seeking to hire one or more Office Specialist 1 to join the Portland Legal Office . In this role, you will work as part of a team that works to protect abused, neglected and abandoned children. WHAT YOU WILL DO You'll be entrusted to: Open, close, file, archive and purge physical and electronic case files and maintain filing systems; Compare information on documents with information on physical and electronic case files and exercise judgement in determining actions necessary to obtain missing or incorrect information; Contact clients, agency staff, other agencies, or the members of the public in person, in writing or by phone to obtain information to complete job duties; Read, sort and distribute incoming mail; Distribute docket reports and other necessary documents; Create, format and proof read documents; Respond to requests for general information and provide explanations to visitors and telephone callers; Operate appropriate office machinery and utilize appropriate technology to efficiently complete tasks; Schedule appointments for individuals and meeting arrangements; Type agendas and take minutes at meetings; Make travel arrangements and prepares expense claims; Order, distribute and maintain inventory of office supplies; and Provide back-up to division staff as assigned. REQUIRED EXPERIENCE AND SPECIAL REQUIREMENTS One year of general clerical experience which included typing, word processing, or other generation of documents OR an equivalent combination of training and experience OR completion of courses or training in Office Technology*. - Work experience is based on a 40 hour work week. (Example: 20 hours a week for one year would equal six-months of work experience.) DESIRED SKILLS AND ATTRIBUTES Ability to maintain composure, tact, friendliness and professionalism in an environment with frequent interruptions. Ability to organize and prioritize work duties. Experience and efficiency in computer data entry. Proficiency in the use of computers, including Microsoft Office Suite and the ability to learn and effectively utilize specialized software applications. Demonstrated effective oral and written communication skills. Demonstrated ability to work as a team member to coordinate job tasks and responsibilities. Ability to anticipate and solve problems. Ability to work under pressure with strict deadlines. WORKING CONDITIONS Open office environment with noise from ringing telephones, printers, copiers, telephone conversations and other office equipment. Move multiple boxes weighing up to 35 lbs on and off site storage areas using a hand truck. Require long periods of sitting, bending, walking and lifting. Drive motor vehicle for errands and to transport boxes to storage facilities. Must have a valid Oregon Driver's license and good driving record. Must be able to handle concurrent multiple tasks under supervision. Must be able to give full attention to detail. Use computer keyboard for data entry and typing daily. Must be able to meet deadlines with short notice by sometimes working overtime, weekends, and evenings. Must be able to maintain confidentiality.
