Administrative Assistant, Project AnalyticsLocation: Portland, Oregon, United StatesPost Date: 6 days agoRequisition #: SKA000BOYAdministrative Assistant, Project AnalyticsThis role assists and supports the project team members by providing project and user setup and maintenance in a variety of systems, including Prolog, Procore, and Sharepoint. This role is responsible for responding to a moderate volume of time-sensitive requests to populate system data and grant access. The position works under direct supervision and performs routine daily administrative activities. This position must demonstrate strong organizational and time management skills, as well as have strong communication and client service skills.This role will either be based primarily in Skanskas main office in Seattle, WA or Skanskas main office in Portland, OR. Occasional travel to project sites and travel to regional and national meetings approximately four times per year is required. This is a full-time, non-exempt role. The typical hours of this position are Monday Friday, 7am 4pm. This position is eligible for overtime pay, but overtime hours are rarely required.Primary Duties and Responsibilities

  • Respond to project team requests regarding system assistance with Sharepoint, Procore, Prolog, ServiceNow, SCRIPTS, BOX and other internal Skanska systems regarding:
  • New project setupsand population of data consistent with company standards
  • Configuring Prolog and Procore projects for integrations with DocuSign and Box
  • Maintain company directory by adding new vendors, contacts, user accounts and permissions
  • Respond to troubleshooting and help requests or triage and elevate if necessary
  • Submit admin requests (as needed)
  • Ensure data integrity and consistency
  • Routine audit of project data to review usage and accuracy and ensure proper project folder structure and Box integration
  • Set up project email account and integration with Procore
  • Work cooperatively with a variety of with internal Skanska clients including construction project teams, Business Systems IT, Field Services IT, Accounting and Executive Leadership team
  • Providing welcome emails and system access to new employees prior to individuals start dates
  • Participate in local new hire orientation to introduce the Project Analytics group and review company resourcesSecondary Duties and Responsibilities
    • Request permissions for access to Project Status Report (PSR) Validate data consistency and accuracy of underlying control systems, including self-perform forecast in SCRIPTS
    • Regarding Prolog/Procore/Sharepoint/SCRIPTS:
    • Assist with the creation of letter templates, forms, checklists, reports and queries
    • Review upload templates prior to import Maintain office and project Teamsites
    • Create trend reporting to support Project Analytics vision and capture best practices that support system integrations
    • Seek innovation to improve processes
    • Other duties as assigned, including projects to support the national needs of Project Analytics
    • Support the Project Analytics Manager with additional administrative tasks, as assigned
    • Participate in office-wide endeavors, such as stretch and flex, committees or eventsJob Skills & Abilities - Required

      • Sharepoint experience with customizing forms and pages, integrating calendars with Outlook and managing permission groups
      • Ability to assess the urgency and impact to customers and prioritize requests
      • Ability to self-audit accuracy of data
      • General computer knowledge and efficiency, including familiarity with Microsoft Office products
      • Adaptable to new technologies and computer software
      • Strong written and verbal communication skills

        • Broad understanding of construction industry
        • Experience working with Procore or PrologEducation and/or Experience High School Diploma required Junior College or Vocational education desired Minimum of 2 years of related administrative experienceTravel Required
