Essential Duties and Responsibilities:The Wine Club and Online Store Manager is responsible for all in person and e-commerce communications with members, and all billing, shipping, inventory management, compliance, and staff training in conjunction with WC operations. The ideal candidate must be highly organized, efficient, demonstrate exceptional attention to detail, efficiently use time, and be goal-oriented and enthusiastic about wine and food.The Manager will utilize knowledge of tasting rooms, wine products, alcohol laws, compliance, membership marketing, wine shipping practices, and multiple operating systems to maximize wine club growth and maintain existing memberships. The Manager will have exceptional phone etiquette, people skills and the ability to work as a team player with multiple departments including tasting room, marketing, winemaking, production, and management.The Manager will lead by example, follow policy and procedure with all operational and reporting expectations, and meet individual and departmental budgets, profit margins, and sales goals.Company Values and StandardsEnsure the safety of guests and associates.Understand, enforce, and teach the company values, and service standards.Understand and adhere to the environmental standards set by the winery.Receive, understand, and follow every guideline as set forth in the associate Handbook.Ensure that all guests feel welcome and are given responsive, friendly, and courteous service always.Lead and SuperviseManage the wine club, online store, and shipping program according to standard operating procedures and train staff to follow policy and protocol accordingly.Train winery-wide in Wine Club basics during orientation training for new associates.Train new associates about Wine Club, Online Store, Shipping and Tasting Room operations.Schedule, organize and prioritize staff efficiently consistent with departmental goals.Create, obtain approval, and achieve department objectives in sales, service, and quality.Manage monthly departmental sales and costs as compared to budget making sure the wine club and online store operate efficiently. Using results, remove, change, or create needed procedures.Manage computer software and technical improvements for Wine Club and Online Store.Create, manage, and upload products, coupon codes, specials, text boxes, discounts, pages, descriptions, and photos for Online Store. Maintain and audit database inventory and keep all SKUs, promotions, and related material current.Manage the fulfillment and all its parts including purchasing and keeping inventory of online store and wine club shipping materials and collateral.Manage detailed communication between departments and departmental Managers to ensure Wine Club knowledge (how to join the wine club, schedule of shipments, promotions, etc.) is consistent throughout the winery.Manage the shipping of wine club packages during pack outs and daily shipping in the warehouse.Oversee wine movement for wine club shipments, as well as wine club and online store daily shipping including keeping detailed inventory of wines running low or on hold for prepaid pickups.Monitor all vendor relations, negotiate prices, set up contracts, and ensure efficiency and quality.ReportingProduce and submit weekly reports to the General Manager.Complete all required wine club and online store reporting. Conduct monthly wine club and online store meetings to review progress to goal and suggest improvements, new procedures, and ideas.Conduct monthly individual progress report meetings with Wine Club team.Attend and speak at Tasting Room staff meeting with wine club updates.Evaluate COGS report to lower costs and increase profits.Oversee all customer service for in-coming calls and questions for the winery and wine club department as well as all customer service for quality and consistency.Promote and oversee the increase of phone sales.Promote individual/departmental goals for the Wine Club team.MarketingMonitor and edit all wine club marketing, including the shipment newsletter, flyers, posters, and email campaigns.Attend monthly Marketing meetings to discuss, plan and project sales and marketing materials for the next month including theme, text and photos for all wine club, online store and tasting room marketing material.Assist with photo shoots. Coordinate with the Tasting Room Manager to coordinate, plan, promote and execute Wine Club Member events.Any other duties as assigned by the General ManagerKnowledge, Skills, and AbilitiesTreat all associates and guests in a respectful manner.Exhibit integrity (honesty and truthfulness)Demonstrate attention to detail.Deploy excellent skills when using a personal computer and various software packages including Microsoft Office and Vin65, Ecommerce systems, shipping services like UPS and Fed Ex, and/or other mass e-mailing systems.Show customer service skills including but not limited to handling difficult situations, managing loud and unruly guests, resolving recurring and non-recurring problems, answering the phone with a smile, accommodating guest requests and suggestions while portraying the company in a positive manner.Work in a team environment and create a team environment for associates.Establish priorities, work independently, and meet objectives without supervision.Lead the team, meet goals, and maintain company values.Multi-task and distinguish between urgent tasks and important tasks.
