Ensure the clinics are able to function smoothly and efficiently while keeping the patients well-being paramount. Responds to questions regarding insurance coverage, copayment requirements, and general clinic information. Conducts patient intake including verification of eligibility, benefits, and authorizations for Hearing Aid services. Enter and update online authorizations into EARL. Schedules patient appointments for audiology. Request, receive and prepare previous medical history, scans and lab results for all new patients. Responsible for some front desk coverage, hearing aid and cochlear inventory management and tracking in EPIC and Sycle. This position will directly support and assist the Audiology division which includes supporting over 10 audiologists, a high volume of patients seen daily, and provides care to medically complex patients. This position will provide assistance to the Hearing Aid and Cochlear audiologists by providing hands on patient education, respond to patient emails, perform hearing aid cleaning and repairs, be available to assist walk in patients or urgent hearing aid visits requiring problem-solving either in person, over the phone or email, and physical support during pediatric audiology exams. Responsible for ordering all hearing aids and related equipment for patients as directed by audiologists. This position is also responsible for ensuring all equipment has arrived and is appropriately working prior to patient's audiology appointments and/or surgery.Basic Operational Duties+ Identifies and collects payments on all hearing aid sales and other ancillary products. Provides receipts and completes necessary accounting procedure in Quickbooks 10 software program.+ Demonstrates strong customer service skills in all interactions with patients and families, including both telephone and face-to-face interactions.+ Completes all hearing aid insurance authorization requests - including form completion and coordination of all medically necessary paperwork for insurance. Will involve contacted outside offices for records.+ Maintains a clean, safe and orderly environment. Includes, but is not limited to, maintaining supplies, equipment and forms, notifying appropriate personnel when cleaning and repair of equipment is needed following infection control policies, maintaining knowledge of life safety, patient safety, fire and electrical safety, and disaster plan. Clean audiology booths and dirty toys used with pediatric patients daily.+ This position must be able to present to and educate staff, providers and the public- requiring a strong knowledge base in retail hearing aidsHearing Aid and Cochlear Dutie+ Provides hands on assistance during audiology visits.+ Responds to patient's email questions and concerns. Triages to determine if patient needs to be seen sooner. + Performs hearing aid repairs.+ Performs hearing aid checks and cleaning.+ Sends stock out for maintenance.+ Tracks and maintains hearing aid warranties. Assists with vendor relationships.+ Assists customers with exchanges or returns as needed.Inventory Management+ Responsible for maintaining cochlear and hearing aid inventory on all products in Quickbooks 10 and/or Sycle.+ Responsible for ordering inventory when supplies are running low.Miscellaneous Duties + Involved in clinical quality outcomes, including efficiency and productivity.+ Provides excellent customer service and maintains good public relations.+ Shares administrative duties with colleagues as needed.+ Performs all other miscellaneous duties as assigned.+ High School Diploma+ Two years' experience with audiology operations, including inventory selection, marketing, and coordinating public events OR an equivalent combination of training and experience+ Excellent interpersonal skills that allow effective working relationships with a diverse customer, colleague, and vendor population. This includes communication, listening, sales, and problem solving skills.+ Must be able to organize time and prioritize numerous duties within strict deadlines.+ Requires the ability to deal with numerous interruptions.+ Must deal with customers in a caring and respectful manner.+ Must be detailed oriented.+ Exceptional interpersonal skills - able to resolve conflicts and problem solve between parties.+ Demonstrates active listening skills and supportive, professional behavior.+ Compliance with Code of Conduct, Respect in the workplace and Applicable policies, procedures and agreements related to position, department or OHSU as a whole+ Must be able to perform the essential functions of the position with or without accommodation+ 2-4 year college degree+ Three - Five years experience in audiology environment, sales, and/or marketing.Experience managing retail inventory and tracking in Quickbooks and Sycle systems.Three years experience with demonstrated competence in+ Inventory control and tracking.+ Ability to answer multiline phones, schedule appointments and complete EARL's;+ Experience with web site upkeep and design.+ Experience with audiology diagnostic and hearing aid software and equipment.+ Quickbooks 10 and scheduling software experience+ Demonstrated knowledge of retail setting operations.+ Experience with hearing aid repair techniques including re-tubes, receiver changes, and removal line replacements.+ Knowledge of hearing aid and cochlear implant vendors and brands. Ability to answer customer questions regarding devices.Salary Range: $22.50 - $30.45 per hour+ Monday - Friday 8:30 am - 5:00 pm at PPV250. Hours will vary. Working in highly productive fast paced office with multiple competing priorities. Face to face interaction every day with patients who are hearing impaired. + Long periods of standing and sitting.
