SUMMARY: This position is responsible for accurate and timely payroll processing for companies assigned, and as coverage needed. Responsibilities also include monthly union reporting and ongoing related union work. Support to the Payroll Staff for processing, projects, inquiries, and reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES (this list is not intended to detail all aspects of the assigned work but is representative of the job's overall responsibilities)

  • Perform data entry accurately and timely paying employees in multiple companies. Use control methods for balances batches, auditing, and initiating payment of deduction withholdings, including garnishments.
  • Performs systematic integrations within the time/HCM/payroll system. Identifies and conducts research into timesheet errors or employee issues. Makes adjustments in time charges such as job numbers and hours worked.
  • Preparation of union pension and benefit reports, calculating amounts due on a monthly basis-both calendar and cash basis. Creating monthly union reports requires strong analytical ability, with accurate and stringent timely report and payment remittances. Provides assistance before and during union audits. Back-up for Union Dues processes.
  • Assist with time data and adjustments. Support of payroll and timekeeping for coverage needs. If needing special attention, employment verifications and responds to external requests for employee information.
  • Works closely and in collaboration with employees in other offices and departments. Interacts effectively with employees, union representatives, company officials and others encountered in the course of the work. Handles inquiries in a courteous and professional manner. Conscientiously following through with commitments.
  • Enters or retrieves data from various databases as needed to support accounting functions and audit activities.
  • Maintains a strict level of confidentiality for all employee information.
    EDUCATION & EXPERIENCE: Demonstrated proficiency in math, reading, writing and in the use of various database systems. Preferred experience with Union Pensions, Health & Welfare, etc., for a variety of unions.

    KNOWLEDGE, SKILLS & ABILITIES:

    Knowledge of: PC applications such as Excel spreadsheets, Word, databases, and payroll record keeping.

    Ability to: communicate effectively and calmly to employees, supervisors, union representatives and employees of other departments; define problems, collect data, establish facts, and draw valid conclusions; exercise good judgment and make accurate and timely decisions; accomplish a high volume of work with accuracy within strict deadlines; prioritize tasks in an environment of changing time constraints and deadlines; to work independently with minimal supervision; work as a team player with a group of other employees.

    Skill in working under pressure while showing flexibility and multitasking; communicating orally and in writing; prioritizing tasks in an environment of changing time constraints and deadlines.

    CERTIFICATES, LICENSES, REGISTRATIONS: None required.

    PHYSICAL DEMANDS: The physical demands for this position require sitting and use of hands/arms for extended periods of time while using a variety of computer programs, electronic communication tools and related office equipment to accomplish work tasks. Occasional overtime required to accomplish assigned duties, to include some weekends. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

    WORK ENVIRONMENT: The work environment consists primarily of an office setting but does require some travel within a heavy industrial environment when performing certain administrative errands.
