*Job Title: Payroll and Benefits Coordinator*

*Reports To: *Director, People & Culture

*Compensation: *Salary range $52,786 - 60,200 annually

*FLSA Status: *Full-Time/Exempt

*Benefit Snapshot: *Health Insurance (employee's premium paid by employer), dental, vision, 401K, monthly Hop Pass or parking reimbursement, PTO & free meals while on site.


The Payroll & Benefits Specialist is a member of the People & Culture team. This position is responsible for all payroll and benefits administration functions of the organization - ensuring pay is processed on time, benefit elections are properly processed and reported, accurate reporting, and compliance with government regulations.

*ESSENTIAL DUTIES AND RESPONSIBILITIES *include the following. Other duties may be assigned on occasion as needed.

* Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
* Ensures accurate and timely processing of biweekly payroll updates including new hires, terminations, and changes to pay rates.
* Works with departmental leaders and staff for time entry approvals and accuracy.
* Processes pay and adjustments for all LOAs, FMLA leaves, or ADA accommodations as needed.
* Prepares and maintains accurate records and reports of payroll transactions, ensuring accurate financial reporting.
* Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
* Reviews HRIS tax withholding to ensure accuracy for personnel and organizational tax reporting.
* Maintains accurate employee physical files and records in HRIS, compliant with ERISA, HIPAA, and USCIS (I-9)
* Assists with new hire onboarding by entering and setting up employee profiles for HRIS access and assisting employees when needed.
* Processes approval workflows for all reimbursable expenses.
* Facilitates audits by providing records and documentation to auditors as required.
* Reconciles benefit carrier coverage and invoices.
* Collaborates with Finance team to ensure proper coding and entries of payroll journal.
* Identifies and recommends updates to payroll accounting software, systems, and procedures.
* Performs other duties as assigned.
* Serving as part of the People & Culture team, this position will require a working knowledge of regulatory requirements such as US & OR state wage and labor laws, HIPAA, FLSA, DOL, BOLI, etc.

\*training can be sponsored if needed with approval of the P&C Director.

* Complies with the attendance policy. The "normal" hours for this position will be Monday - Friday 8:30 - 5:00 pm. This position is on-site with the ability to work remotely one day per week. Flexibility will be needed if training schedules demand it.

* Participates in company sponsored training, in-services, and attends meetings as required.
* Assists with special projects as assigned.

Bachelor's degree, or Associates degree with equivalent experience (2+ years) in either accounting, payroll, benefits, or other similar business field preferred.

* Values accurate data entry, attention to detail, and has strong organizational skills.
* Strong analytical and problem-solving skills.
* Proficient with Microsoft Suite or related software.
* Proficient with payroll software (HRIS). \*Paylocity experience highly desired, but not required.
* Extensive knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes.


Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar grafts.


Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
