Reporting directly to the CEO, the Executive Assistant & Board Liaison functions as a liaison to the Board of Directors and Executive Management Team (EMT) on behalf of the CEO. The Executive Assistant & Board Liaison also manages the administrative office and coordinates special projects initiated and/or driven by the CEO. The Executive Assistant & Board Liaison must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The Executive Assistant & Board Liaison works at the intersection between the CEO, Board of Directors, and all areas of the organization and must exercise good judgment in a variety of situations, display strong written and verbal communication, administrative, and organizational skills, and demonstrate the ability to maintain a realistic balance among multiple priorities. The Executive Assistant & Board Liaison will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Starting salary: 55k-65k/annually This is Hybrid role of onsite days and remote days. (Some travel within the Portland Metro area may be required.) Generous paid time off (PTO) Company-paid holidaysRetirement plans with employer match Roles and Responsibilities: Board Liaison Serves as the CEO's administrative liaison to the Governing Board, Associate Board, & Pacesetters. Coordinates board operations (i.e. calendars, meetings, events, etc.) for Board & Committee meetings. Maintains meeting minutes for general board meetings, finance committee, and governance committee meetings. Assists the CEO in preparation for board and committee meetings (i.e. meeting coordination, visuals and presentations, and meeting packets). Executive Management Team Liaison Participates as an adjunct member of the Executive Management Team. Functions as a catalyst to support the team's effort to stay strategic and high functioning by coordinating schedules, creating meeting agendas, creating visuals and presentations, distributing meeting materials, prioritizing tasks, and coordinating project management efforts. Tracks and manages key projects at the intersection between CEO and EMT (all org. departments); EMT and Senior Management Team (program operations). Supports CEO efforts to center organizational priorities around Future Plan objectives, targets, and outcomes; operationalize Future Plan into day-to-day activities on all levels of the organization (board, admin, and programs). Tracks and manages CEO's CRM matrix (Constituent Relationship Management). Supports CEO and VP of Marketing & Development on executing the overall donor stewardship plan. Supports and coordinates any other special projects initiated and/or driven by the CEO. Office Management Sign documents for CEO. Complete CEO expense reports. Sign VP Time Sheets for CEO. Pick up mail and distribute to appropriate departments. Manage all in-bound office calls; respond to voice messages. Order office supplies. Demonstrates a proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrates the highest level of customer service and response.Demonstrates the ability to interface with a Board of Directors and key stakeholders. Demonstrates the ability to prioritize conflicting needs; handle urgent matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures. Demonstrates the ability to organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety.Demonstrates creativity, skill, and proficiency with synthesizing information toward designing visuals and presentations. Education and Experience Requirements Bachelor's degree preferred.Strong work tenure: 3 to 5 years of experience supporting C-Level Executives, preferably in a non-profit organization. Experience and interest in internal and external communications, partnership development, and fundraising. Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms). Proficient with various project management tools and applications. Since the beginning of the COVID-19 pandemic, BGCP has focused on protecting the health of our communities and workforce. The current surge in cases across the state because of the Delta variant and the resulting strain on our regional healthcare system present us with perhaps the steepest challenge of the pandemic so far. As a result, BGCP has, as mandated that as a qualification of employment, all staff must be fully vaccinated against COVID-19 by October 18, 2021, as allowed by law and unless the staff receives a medical or religious exemption. Candidates who receive an offer of BGCP employment must provide proof of vaccination upon hire or submit an exemption request prior to their start date.
